Managing Classroom Waiting Lists Scenarios
The Classroom Waiting List feature provides configurable options to manage enrollment when classroom capacity is reached. It helps admins and managers handle vacant seats, waitlisted users, classroom duplication, and changes to seat limits.
Enrollment Limit and Waiting List Creation
When a classroom is created with a specific Seat Limit, only the specified number of users can successfully enroll.
For example, if the seat limit is 10 users, the first 10 eligible users can enroll. Once the seat limit is reached, additional users attempting to enroll are automatically added to the Waiting List.
Handling Vacant Seats Due to Unenrollment
When an enrolled user unenrolls from the classroom, their seat becomes available.
The platform automatically assigns the next eligible user from the Waiting List to the available seat.
Users are moved from the waiting list based on the order in which they were added to the list.
Assigning Waitlisted Users Through Classroom Duplication
When an admin or manager duplicates a classroom, a new classroom instance is created. The new classroom can have a different seat limit.
Users from the original classroom's Waiting List can be assigned to the new classroom based on the order in which they joined the waiting list.
This helps manage high-demand classrooms by distributing waitlisted users across multiple classroom sessions.
Assigning Waitlisted Users After Increasing the Seat Limit
When an admin or manager increases the Seat Limit of an existing classroom, the platform re-evaluates the current waiting list.
Users on the waiting list are automatically enrolled in the classroom based on the order in which they were added to the list, until the newly available seats are filled.
Email Notifications
Users receive email notifications for important classroom enrollment and waiting list actions, including:
- Successful enrollment
- Placement on the waiting list
- Movement from the waiting list to enrolled status when a seat becomes available
These notifications keep users informed about changes to their classroom enrollment status.
